The Basics: Lesson 4 - Notes & Associations
This article explains how to use Notes across Jobs, Customers, and Assets in Zuper, including how associations determine where notes appear and how to link notes to multiple records.
Notes are used throughout Zuper to document service history, internal updates, field observations, and important customer information.
While adding a note is simple, understanding associations is what makes Notes powerful.
When you create a note, it is automatically attached to the record you are currently viewing. However, you can also associate that same note with additional records so it appears in multiple places.
Understanding how Notes connect across modules is key to keeping your data organized and easy to find.
What Are Notes Used For?
Notes help document:

Customer conversations

Installation updates

Internal team communication

Photos and attachments

Equipment observations

Warranty or maintenance history
Notes can be added within:

Assets
Understanding Associations (The Most Important Part)
Default Behavior
When you create a note, it is automatically attached to the record where you added it.
For example:

If you add a note inside a Job, it will live on that Job.

If you add a note inside a Customer, it will live on that Customer.
-
If you add a note inside an Asset, it will live on that Asset.
It does not automatically appear everywhere else.
Why This Matters
Let’s say a technician adds a note inside a Job:
“Customer mentioned intermittent voltage fluctuation.”
That note will be on the Job record only.
If someone later looks at the Customer record, they won’t immediately see that note unless they:

Open the customer

Click into their Jobs
-
Open the specific Job
-
View the note there
The information is still accessible — but it’s tied to where it was originally created.
Associating a Note to Multiple Records
You can associate a note to multiple related records.
For example:

Add a note on a Job
-
Associate it with the Customer
-
Associate it with the Asset
Now the same note appears in all three locations.
This prevents duplication and ensures the right information is visible wherever your team looks.
Associations are a core concept in Zuper. Once you understand how modules connect (Customers → Properties → Assets → Jobs), associating notes becomes very intuitive.
How to Add a Note

Open the record (Job, Customer, or Asset)

Navigate to the Notes section

Enter your note
-
Add any attachments or tags
-
Adjust associations if needed

Click Save
Features Available Within Notes
Notes are more than just text entries. You can:

🎤 Use voice-to-text transcription

📸 Upload photos

📎 Attach files

🎥 Record AI video (audio is transcribed into note format)

👥 Tag team members by typing "@" and their first name (they will receive notifications)

📝 Edit existing notes if needed
These tools allow field and office teams to capture detailed, real-time information.
Editing Note Associations
Associations can be adjusted after a note is created.
You can:

Add additional linked records

Remove associations
-
Update the note content
Adding or editing associations is simple — the key is understanding how records are connected in Zuper.
If you're unsure where a note should live, ask yourself:
“Where would someone logically go looking for this information?”
Then associate it accordingly.
Best Practices for Using Notes

Add notes at the Job level for work-specific updates
- "Customer will call to pay invoice for this job, could not complete payment in field"
- "Couldn't find the specific part in inventory, add an EVO board to invoice"

Associate important service observations to the Asset
- "Battery voltage was fine but on the fence of replacing. Needs to be replaced next year"
- "Adjusted exercise time to midday, customer complained it was too early and noisy"

Associate customer-wide information to the Customer record
- "Customer is deaf and uses a video doorbell"
- "Killer dog, DO NOT knock just call customer"

Avoid duplicating notes — use associations instead

Tag teammates when action is required
