Zuper Webinar Series: Week 10 - New Quoting & CRM Functionality

Join us for our weekly Zuper webinar, where we’ll focus on a different feature or workflow inside the platform each session. These trainings are designed to help your team get the most out of Zuper and showcase new features when they launch!

Zuper’s updated platform centralizes the entire generator sales lifecycle, from the first inbound call to proposal creation, project handoff, and installation. This session introduces the redesigned sales workflow, in-home consultation tools, and proposal management.

A Single Platform for Sales, Quoting, and Projects

Zuper’s latest release consolidates systems that were previously spread across multiple tools. Sales pipelines, proposals, pricing, inventory, and job creation now live in one place, simplifying workflows and reducing duplicate data entry.

Users planning to move to the new platform are encouraged to request priority migration, with full rollouts expected after the national conference.

Zuper Connect Sidekick: Call-First Sales Workflow

Zuper Connect Sidekick allows teams to begin the sales process the moment a phone call comes in.

With Sidekick, users can:

  • Answer and record calls

  • Take notes during the conversation

  • Instantly view a caller’s existing jobs, quotes, and invoices

  • Create new customers, leads, or jobs directly from the call screen

This enables inbound phone calls to become fully trackable sales opportunities without switching systems.

Sales Leads and Pipeline Management

Sales leads are created by assigning a job category such as Generator Sales Leads. These leads are managed using a kanban-style pipeline, similar to traditional CRM tools.

Key features include:

  • Drag-and-drop lead stages

  • Custom lead statuses such as attempted contact or voicemail left

  • Automated emails and SMS triggered by status changes

Once contact is made, intake questions automatically appear to capture critical details before handing the opportunity to a salesperson.

Converting Leads into In-Home Consultations (IHC)

When a lead is qualified, it is converted into an In-Home Consultation and scheduled using assisted or manual scheduling tools.

In the field, the IHC workflow mirrors a technician job:

  • Mark “On My Way” and “Start Job” in the mobile app

  • Capture exterior photos of the home

  • Complete a customizable IHC checklist

The checklist functions as a guided proposal builder and pulls directly from Zuper’s inventory.

Building Proposals Inside Zuper

Proposals are assembled using checklist selections tied to inventory items and pricing, including:

  • Generator models

  • Pads, LTE modules, and warranties

  • Gas runs and labor hours

Scopes of work are fully customizable per quote. Pricing updates are managed directly in Zuper’s inventory, ensuring proposals always reflect current pricing.

Once complete, the job status is updated to Create Proposal, generating a PDF quote that can be emailed immediately to the customer.

Load Calculations and Power Play

Generator sizing and load calculations remain native to Power Play. Recommended workflow:

  1. Perform the load calculation in Power Play

  2. Download the report

  3. Attach it to the Zuper job

Zuper does not automatically sync lead data or sizing results with Power Play. Required Generac status updates must be entered manually into Power Play.

Proposal Acceptance, Deposits, and Financing

Customers can review and sign proposals electronically on an iPad or computer. Once signed:

  • The quote status updates automatically

  • Internal project line items are generated

  • Deposits can be collected via Super Pay, check, cash, or financing

Financing integration is in progress and will allow estimated financing costs to be calculated directly within proposals.

Automatic Project and Installation Job Creation

After proposal acceptance, Zuper builds out the project automatically. A child job is created for installation and linked to the original IHC job, ensuring:

  • Photos and planning details stay connected

  • Install teams have full visibility into scope and expectations

Installation jobs are managed through a pipeline view for permitting, scheduling, inventory allocation, and execution.

Inventory, Pricing, and Tax Handling

All proposal pricing and descriptions come from Zuper’s inventory list. Inventory data can be uploaded in bulk if exported from other systems.

For tax accuracy and QuickBooks reporting:

  • Bundles should be created in QuickBooks

  • Bundles can separate service and parts line items

  • This resolves sales tax calculation issues when syncing back to QuickBooks

Updated Job Card for Service and Maintenance

Zuper includes an enhanced service and maintenance job card designed like an automotive service report. It provides customers with:

  • A clear summary of work performed

  • Findings and recommendations

  • Clickable photos

  • A built-in Home Standby Guide explaining common generator behaviors

This reduces repeat questions and improves customer understanding after service visits.

Recommended Structure for Maintenance Kits (Product Bundles) & Managing Inventory:

Asset History and Future Enhancements

Quick visibility into prior inspection reports remains a requested enhancement. Zuper is exploring AI-driven summaries that would surface recent service history directly within new inspections, though this feature is not yet available.

Migration Timeline

Priority migrations are being scheduled for users who submit the migration request form. Full migrations are expected to begin after the conference, with one-on-one onboarding calls planned.

Key Takeaways

  • Zuper manages sales, quoting, proposals, and project execution end to end

  • The sales pipeline can replace traditional CRMs while remaining optional for HubSpot users

  • Power Play remains the system of record for generator sizing

  • Inventory-driven pricing simplifies proposal updates

  • Installation and service workflows remain fully connected
